Private Dining – Full Terms & Conditions
1. Booking & Deposit
All private dining bookings require a non-refundable deposit of 40% of the total quoted fee to secure the date. A booking is not confirmed until the deposit has been received. The deposit secures the date exclusively and covers planning, preparation, and loss of availability.
2. Final Balance
The remaining balance is due 4 weeks prior to the event date, unless otherwise agreed in writing. Failure to settle the balance by the due date may result in cancellation of the booking, with the deposit retained.
3. Cancellations by the Client
All deposits are strictly non-refundable. Cancellations made within 14 days of the event will be charged 100% of the total booking value. Cancellations made more than 14 days prior will result in forfeiture of the deposit only & an additional 30% of the remaining booking value.
4. Late Bookings
A late booking is defined as any booking made within 14 days of the event date. Full payment is required at the time of booking. In the event of cancellation, 70% of the total booking value will be retained.
5. Cancellations by the Company
In the unlikely event that the Company must cancel due to illness, emergency, or circumstances beyond reasonable control, all monies paid will be refunded in full or an alternative date offered. No further liability will be accepted.
6. Menu Agreement
The menu must be finalised no later than 4 weeks prior to the event date unless otherwise agreed in writing. The Company reserves absolute discretion over menu availability and suitability.
7. Allergies & Dietary Requirements
All allergies and dietary requirements must be declared at the point of booking. The Company does not operate an allergen-free kitchen and cannot guarantee the absence of allergens or cross-contamination.
8. Dietary Adjustments & Additional Charges
Where dietary requirements necessitate alternative ingredients, additional dishes, or separate course preparation, additional charges may apply at the sole discretion of the Company.
9. Guest Numbers
Final guest numbers must be confirmed no later than 14 days prior to the event. Reductions after this date are non-refundable. Increases are subject to availability and additional cost.
10. Minimum Spend
A minimum spend of £600 applies to all menus regardless of guest numbers. There is no minimum guest requirement.
11. Travel
Travel is included within 30 miles of the Company’s base. Additional travel costs, parking fees, congestion charges, or overnight accommodation may be required and will be charged to the client.
12. Staffing & Service
Carl caters independently for events of up to 14 guests. Additional staffing is mandatory for larger events and will be charged at a fixed rate agreed at booking.
13. Setup, Service & Breakdown
The quoted price includes reasonable setup, service, and breakdown time. Venue delays or unsuitable conditions may incur additional charges.
14. Venue & Utilities
The Client is responsible for providing suitable access, kitchen facilities, utilities, and workspace. The Company reserves the right to refuse service if conditions are unsafe or unsuitable.
15. Media
Photography and filming may take place during the event for marketing and social media purposes unless opted out in writing prior to the event.
16. Force Majeure
The Company shall not be liable for failure to perform due to events beyond reasonable control.
17. Acceptance
Payment of the deposit or full payment for late bookings constitutes full acceptance of these Private Dining Terms & Conditions.
